Your First Order: The Fulfillment Workflow

The moment someone buys from your store, a clock starts. They expect to receive a product, and you need to get it to them. This is the mechanical process — what to do, in what order, from the second an order notification hits your phone.
What happens automatically when someone buys
When a customer completes checkout on your Shopify store, the following happens without you doing anything:
- Shopify sends the customer a confirmation email with their order number, items purchased, and estimated delivery window
- You receive an order notification (email + Shopify mobile app push notification)
- The order appears in your Shopify admin under Orders → Unfulfilled
- Payment is captured (if using Shopify Payments, funds are held for settlement on your next payout cycle)
That is the automation. Everything after this point is your job — until you set up automated fulfillment tools (covered in Step 3 below).
Step 1: Manual fulfillment workflow (your first 50 orders)
For your first 50 orders, fulfill manually. This teaches you the mechanical process, exposes failure points, and builds your operational instinct. Do not automate what you do not understand.
The 7-step manual fulfillment process:
1. Open the order in Shopify Go to Orders → click the unfulfilled order. Note: customer name, shipping address, product variant (size/color), quantity.
2. Go to AliExpress and find the product Open the AliExpress listing for the product the customer ordered. If you have multiple suppliers for the same SKU, use your primary supplier (Lesson 3.1 metrics determine who that is).
3. Click "Buy Now" and enter the customer's shipping address Critical: enter the CUSTOMER's shipping address, not yours. This is the core mechanic of dropshipping — the supplier ships directly to your customer.
Double-check:
- Name matches the customer's name (not yours)
- Address is complete (apartment number, state, zip code)
- Phone number is included (required by many carriers)
4. Select the shipping method You will see 3-5 shipping options. The key trade-off is cost vs speed:
